A step-by-step guide: a five-minute setup — leads from the AI chat and search become deals at your pipeline stage, with the customer, the conversation and the products.

KeepinCRM is a Ukrainian CRM for small businesses and online shops: deals, pipelines, customers, stock. But something has to put the deals into it, and most of the time that something is a person — a manager reads the website chat, retypes the phone number into the CRM, adds a note about what the customer wanted, and repeats.
Looma closes exactly that gap. Connect KeepinCRM and every lead your widgets collect becomes a deal at the pipeline stage you choose: with the customer, the text of the conversation and the products the visitor was interested in. No exports, no files, no copying. Setup takes about five minutes.

The connection is one-way: Looma writes into your CRM and never reads anything back — no deals, no stock, no catalogue. We add the data your CRM would not otherwise have.
Requests from the AI chat, from search and from the widget forms arrive in KeepinCRM as deals — at the pipeline stage you pick, for example “New from the website”. The visitor becomes a customer marked as a lead.
Every lead is sent once. KeepinCRM does not duplicate a customer with the same phone number — it attaches them to the new deal. And if the lead changes after it was sent — a longer conversation, a new status — a note appears in the activity log of the same deal.
Visitors type phone numbers however they like. Looma converts them to international format using the country code you set, so the manager can call straight from the deal.
A KeepinCRM account on the Extended plan. KeepinCRM offers its API on that plan only.
Access of the person who first registered the KeepinCRM account — only they can create the API key.
The Owner or Administrator role in Looma — the Integrations section is limited to those two.
An active Looma subscription. With an expired one the page redirects you to Billing before it opens.
In KeepinCRM open Settings → Company profile → API tab and press Create.
In Looma open Integrations → KeepinCRM. You will see the list of your sites — each one connects separately. Find the one you need and press Connect. There is a single field, the API key: no account address is needed, KeepinCRM recognises the account by its key.

Press Save — a Test connection button appears next to it — and then press that too. When the test succeeds, the badge next to the site name turns into “Connected” and a green “Connection works” appears in the form.

The settings appear only after a successful check: Looma reads your pipelines and sources straight from KeepinCRM.

Where new deals land. The list holds every stage of every pipeline you have, shown as “Pipeline · Stage”. Added a new stage in KeepinCRM? Press Test connection and the list refreshes.
Optional. Pick, for example, “Website” and both the deal and the customer get that source — handy for reports. “Do not set” leaves it empty.
The dialling code without the “+” (380 by default). It is what lets a number written in national format arrive in the CRM in international format.
The main switch. It starts switched off — tick it, or nothing will be sent.
Off by default, on purpose. Without the tick only leads that appear after you save reach the CRM. If you want the whole backlog, tick it and it will arrive at a steady pace, about ten leads per minute per site.
Press Save settings and delivery starts within a minute.
The deal arrives filled in: a title with your site and the lead number, the customer with their phone, the conversation and the products in the comment. And when the lead changes, a note with the new status and the current text appears in the activity log of the same deal.

The name the visitor gave, the phone in international format and the email. If you already have a customer with that phone, the deal is attached to them — and their name is updated to the one the person gave in the chat.
The comment carries the text of the conversation, followed by the products the visitor looked at, one per line: name, SKU and price.
One thing worth saying plainly: products arrive as text in the comment, not as deal line items. A product that is not in your stock would be created by KeepinCRM as a new one, so every lead would clutter your catalogue. That means the deal total cannot be computed from these lines: the manager sees what the customer was interested in and adds the line items themselves.
Looma fills in the deal comment once, when the deal is created. Everything that changes afterwards arrives as notes in the log, so nothing your managers wrote is ever overwritten.
Leads with neither a phone number nor an email are not sent: in the CRM they would be a deal nobody can call back.
The badge next to the site name always tells you where you stand: “Connected”, “The CRM rejected the key”, “The key is correct, but the CRM grants no access to the data” — usually a plan without the API. If KeepinCRM is briefly unavailable, Looma simply tries again.
If delivery fails ten times in a row — say, the key was re-created — Looma stops sending and emails the account owner, and the site shows “Transfer stopped”. Nothing is lost: fix the cause, press Test connection, then Retry failed.
No. The whole integration is copying the key from KeepinCRM and pasting it into Looma. Then pick a stage and tick a box.
About a minute. The backlog moves more slowly — about ten leads per minute per site, so as not to hit the request limit of your key.
Yes, and Looma will not get in the way. We set the stage only when the deal is created — after that your manager runs the pipeline, and our updates arrive as notes.
Each one connects separately — into the same KeepinCRM, and even onto different stages. Sites that share a key share its request limit: delivery gets slower, but nothing breaks.
Deals already sent stay in the previous account and are no longer updated there. Only new leads go to the new account.
Yes, with the Disconnect button — the saved key is deleted. Just remember that the delivery history goes with it: if you connect the same CRM again later, previously sent leads will arrive a second time, as new deals.
